📄 What Is a Heat Sheet?

If you are new to swim meets, heat sheets can feel overwhelming at first. This guide will help you understand what they are and how to read them.

A heat sheet is the lineup or program for a swim meet. It shows:

  • The order of events
  • Who is swimming in each event
  • What heat and lane each swimmer is in

The Head Coach creates the lineup the Sunday before each meet based on which swimmers have signed up to attend.

Quick Tip: Once you understand the 4 main parts of a heat sheet, it becomes much easier to follow along during a meet.

🔍 The 4 Key Parts of a Heat Sheet

  1. Event
  2. Heat
  3. Lane
  4. Swimmer Details

1️⃣ Event

The event describes who is swimming and what they are swimming.

Example: #14 Girls 7–8 25 Yard Freestyle

  • Event number: 14
  • Group: Girls, ages 7–8
  • Distance: 25 yards
  • Stroke: Freestyle

Everything listed below that event header belongs to that event until a new event begins.


2️⃣ Heat

Example: Heat 1 of 5 Finals

This tells you:

  • Which group of swimmers is currently swimming
  • How many total heats there are

Since not all swimmers can fit in the pool at once, they swim in groups (heats).

“Finals” means the fastest time wins.


3️⃣ Lane

The lane number shows where your swimmer will be in the pool.

  • Lane numbers are listed next to each swimmer’s name
  • Lane 1 is closest to the starter

What to Look For: Find your swimmer’s name, then check their event number, heat, and lane so you know when and where they swim.

4️⃣ Swimmer Details

  • Name: The swimmer’s name
  • Age: Age for the meet (may differ slightly based on league age cutoff)
  • Team: Team abbreviation (Otters = OCO)
  • Seed Time: The swimmer’s best previous time in that event

Note: “NT” means “No Time,” indicating the swimmer has not competed in that event before.

Goal: Swimmers aim to beat their seed time—this is considered a successful swim regardless of placement.

🔁 Relays

Every meet starts with medley relays and ends with freestyle relays.

Note: 6 & Under swimmers do not participate in relays.

Medley Relay Order

  • Backstroke
  • Breaststroke
  • Butterfly
  • Freestyle

Each swimmer completes one leg of the relay in this order.

What to Look For: For relays, check the swimmer order to know when your swimmer will enter the pool.

🚩 At the Meet: What You Actually Do

At the meet, you will use the heat sheet to find your swimmer and know when to send them to the staging area.

  • Find your swimmer’s name
  • Check their event number
  • Watch for that event to be announced
  • Send them to their age group staging area before their heat
Pro Tip: Have your swimmer ready a few events ahead—meets move faster than you think!
